RhodiumHR Time Tracker — App-Specific Privacy Policy
Effective date: September 29, 2025
Prominent disclosure (used in-app): RhodiumHR Time Tracker uses your location in the background to detect when you arrive at or leave assigned worksites so we can automatically clock you in and out. This may occur even when the app is closed or not in use. You can change permission settings at any time, but auto attendance will not work without background location.
This section describes the data practices of the RhodiumHR Time Tracker mobile application (the “App”) used for workforce attendance via geofencing. It is distinct from our general website policy. For App data, your employer/organization typically acts as the data controller, and Rhodium Digital Technologies acts as a processor/service provider.
Data We Collect
- Precise & background location: With your permission, the App uses GPS and network signals to detect geofence entry/exit events for assigned workplaces. Processing can occur in the background (when the App is closed or not in use) so automatic clock-in/out works as intended. We do not continuously record your full path; we record time-stamped enter/exit events and, when needed, a location fix at the event time for validation.
- Account & employment info: name, employee ID, organization/tenant, assigned worksites/geofences, registered device linkage.
- Device & App data: device model/OS, app version, push token, diagnostics and crash logs, and basic network status for reliability and security.
- Optional signals (if enabled by your organization): activity recognition (to reduce false triggers) and notifications.
How We Use Your Data
- Core functionality: detect geofence entry/exit to automatically clock you in/out, show attendance history, and reduce fraud.
- Operations & support: security, debugging, crash analytics, and service improvement.
- No ads / No sale: we do not use your data for advertising and do not sell personal data.
Sharing & Disclosure
- Your employer/organization: receives attendance records and associated location event data for HR/timekeeping and auditing.
- Service providers: hosting/cloud, databases, maps/geofencing, analytics, and crash reporting vendors that process data under contract and may not use data for their own purposes.
- Legal/compliance: if required by law or to protect rights and safety.
Background Location Disclosure
The App collects and processes location in the background to detect geofence entry/exit and enable automatic attendance, even when the App is closed or not in use. You can disable background location in the App (where available) or in your device settings, but core features will not function without it.
Retention & Deletion
- Attendance/location events: retained by your employer/organization according to their HR policy and legal obligations.
- Operational logs: retained by us for a limited period necessary for operations and security (typically up to 90 days unless law requires longer).
- Deletion requests: contact your employer’s HR admin or info@rhodiumdigitaltechnologies.com. When an organization closes its account, we delete or anonymize data within a reasonable period (usually within 30 days unless legal retention applies).
Your Choices & Controls
- Manage location permissions (Allow all the time / While using the app / Deny) in device settings.
- Use any in-app privacy controls (e.g., pause tracking) if provided by your organization.
- Access/correction/deletion requests via your employer or by emailing us.
Permissions We Request (Android)
ACCESS_FINE_LOCATION, ACCESS_COARSE_LOCATION, ACCESS_BACKGROUND_LOCATION,
FOREGROUND_SERVICE (and where applicable FOREGROUND_SERVICE_LOCATION),
RECEIVE_BOOT_COMPLETED, POST_NOTIFICATIONS, INTERNET, ACCESS_NETWORK_STATE.
Some permissions are optional and depend on features enabled by your organization.
Children
The App is intended for employees and contractors and is not directed to children.
